Committee Charges 2008-2009

Development Committee

Prepare for the 15th Anniversary of the Friends of the Libraries for the 2009–2010 academic year

  • Meet with the ODU Librarian and ODU Development Department representative early in the 2008 – 2009 academic year to plan campaign for Life Memberships. Life Memberships will be solicited during the academic year of July 1, 2009 to June 30, 2010 and materials will need to be prepared and printed.
  • Meet with the Program Committee early in the 2008 – 2009 academic year to plan special events for the 15th Anniversary.
  • With the Membership Committee, evaluate current membership levels and donor recognition and make suggestions for improvement to the board with focus on the 15th Anniversary.
  • With the Membership Committee, propose new membership application forms for approval of ODU Librarian and FOL Board. The Membership Committee will be in charge of getting the approved materials printed through an approved vendor.
  • With the Service Committee order FOL merchandise for the 15th Anniversary.

Membership Committee

  • In the fall provide the executive committee (including committee chairs) and with a current membership list –names, addresses.
  • Prepare a membership recruitment campaign and decide how to market the services of the library.  Get approval of the University Librarian.
  • With information provided by the library staff liaison, monitor program for renewals and propose ways to increase member retention.
  • Continue recruiting faculty membership during national Friends of the Library week in October.
  • Propose ways to involve members more with the Library, e.g. through book clubs, workshops, etc.

For the 15th Anniversary 2009-2010 academic year

  • Evaluate and recommend ways to increase the number of FOL members, encourage alumni memberships. Consider and ad in the AlumNews both in 2008-2009 and the anniversary year.
  • With the Development Committee propose new membership application forms.  Current forms do not provide space for e-mail address and for the source of new memberships (library desk, internet, events, etc.).
  • With the Development Committee evaluate benefits for increased levels of membership and ways to encourage present members to join at the higher levels.

Program Committee

Develop programs for presentation to the campus and area communities to promote awareness and recognition of the Perry Library including the following:

  • Develop fall and winter programs.  In all programming look for topical issues that will attract a crowd.
  • Meet with the University Village Bookstore Representative, FOL Development Committee Chair and FOL President to establish cooperation and exchange of ideas.
  • Evaluate the winter “Baskets for Books” fund-raiser.  Bring recommendations to the board and,

if approved, negotiate terms and participants with the ODU Athletic Department.

  • Plan and implement the spring Author Dinner – begin this effort in the fall.  Choose authors, set dates and finalize plans with board approval.  Solicit sponsors if needed for speaker fees or to increase funds raised. 
  • Appoint a subcommittee to choose an ODU faculty member to honor at the April dinner.
  • Seek out opportunities for cooperative/joint program both off-campus and on-campus with Town N Gown, alumni, historical or other societies, bookstores, etc. 

For 15th anniversary 2009-2010 academic year

  • Evaluate the possibility of booking a “New York Times Best Selling” author as speaker for 2008 and 2009.  Obtain sponsorship if needed.
  • With the Development Committee plan special events and presentations for the 15th anniversary.

Publicity/Marketing Committee

  • Publish three to four newsletters a year.
  • Evaluate ways to make the newsletter more appealing and a more effective tool for marketing Friends of the Library programs and events.
  • Seek out opportunities for stories about the FOL or the Library that might be of interest to the media – e. g. special collections, government documents, special programs
  • With help of the library staff liaison, market all programs of the FOL in a targeted way; don’t just depend on the university’s publicity office, but find creative ways of marketing.
  • In cooperation with library staff, evaluate and if necessary suggest changes in the FOL web site, perhaps adding links to other relevant sites.
  • Recruit a FOL Board member as a photographer for FOL events

For 15th Anniversary 2009-2010 academic year

  • Over the summer of 2009, plan and produce special Anniversary issue to be distributed in the fall of 2009 –work with the library staff to prepare displays for the 15th anniversary.

Service Committee

  • Coordinate volunteers to help with the Library Staff Organization’s fall book sale.
  • Staff membership tables at FOL events and other events as proposed by the FOL Board.
  • Encourage FOL members to volunteer to perform special services for the Library (e.g. Special Collections).
  • Plan and implement the spring reception honoring library staff.
  • Promote sales of FOL merchandise (t-shirts, mugs, etc.)..
  • Evaluate inventory of Friends merchandise,  and the need to order more with consideration of the upcoming 15th anniversary

 For the 15th Anniversary 2009-2010 academic year

  • With the development Committee, propose merchandise for sale or promotion, if needed.

Ad Hoc Committees will be established as needed
