Obtain library materials requested by your professor:

First step: determine what kind of document the citation refers to

Journal Article: look for volume and issue numbers; sometimes you will see a date more specific than the year, such as Winter or November.

French, Donald. Russell, Connie. "Do Graduate Teaching Assistants Benefit from Teaching Inquiry-Based Laboratories?" Bioscience. v52 n11 p1036-41 November 2002.

Book: look for a place (usually city) of publication followed by a publisher name.

Curzan, Anne, and Lisa Damour. 2000. First day to final grade: a graduate student's guide to teaching. Ann Arbor : University of Michigan Press.

Chapter or essay within a book: look for the word "in" followed by a second title.

Ronkowski, Shirley A. 1998. The Disciplinary/Departmental Context of TA Training. In Marincovich, Michele, Protsko, Jack, and Frederic Stout (eds.), The Professional Development of Graduate Teaching Assistants. pp.41-60. Bolton, MA: Anker Publishing.

Government Document: look for a government agency name.

United States, Department of Agriculture. Soil Survey of Page County Virginia. 2001.

Conference papers or proceedings: look for words such as conference, congress, paper, or proceedings.

The TA Experience - Preparing for Multiple Roles: 3rd National Conference on the Training and Employment of Graduate Teaching Assistants, Austin, TX, November 1991. edited by K.G. Lewis. Stillwater OK: New Forums Press, 1993.

NOTE: For incomplete citations or journal abbreviations you are unable to decipher, please ask for help at the reference desk on the first floor of the library.

Second step: look it up in the library catalog to see if it is available at the ODU Libraries

For journal articles, look up the journal title using the Journals, magazines & newspapers search of the library catalog

For books, look up the book title using the Title search of the library catalog

For book chapters, look up the title of the book it appears in (usually the second title) using the Title search of the library catalog

For government documents, look up the title of the document using the Title search of the library catalog

For conference papers or proceedings, look up the title of the paper or proceedings using the Title search of the library catalog

NOTE: Conference papers/proceedings and government documents may be a bit tricky - please ask for help at the reference desk on the first floor of the library if you don't find it!

Obtain materials not owned by the library:

Once you've checked the library catalog and determined that the library does not own the document you need, you can request the document through the Interlibrary Loan (ILL) department (683-4170).

First step: Set up your ILLiad account

Second Step: Login to ILLiad and fill out the proper request forms

Allow at least one week for your requests to be filled - this time will vary depending on Interlibrary Loan workload and the availability of the item requested.

The library subsidizes the first $15.00 of fees for graduate students. In most cases there will be no charge.

To place Interlibrary Loan requests on behalf of your professor, you will need to login to ILLiad with their ILLiad username and password.

Charge copying to your department or a faculty grant:

In order to make copies in the library and charge them to your department or a grant, you will need to bring an authorization letter on official letterhead with the following:

  • Signature of the budget unit director

  • Department budget code or grant number

  • The student's name who is authorized to make the copies

  • Here are a couple of examples

The letter is kept on file in the photocopy center on the second floor and you will just need to show your ID card when dropping materials off for copying.

The photocopy center is staffed Monday through Friday from 10:00 AM until 2:00 PM. During these hours you may drop off your material at the photocopy center and fill out the "Reprographic services request form."

During hours when the center is not staffed (mornings, evenings and weekends), you can drop off the material with staff at the Microforms Department service desk on the 2nd floor.

You should allow for a 24 hour turnaround for this service (Monday pickup for weekend drop off), although that time may increase or decrease depending on the workload.

Photocopies are picked up from the basket outside the photocopy room; copies are filed in alphabetical order by the last name of the person requesting the copies.

Borrow materials in your professor's name:

Your professor must email Sharon Kidd (skidd@odu.edu) and Robert Stone (rstone@odu.edu) with the name of the person authorized to check materials out under their name.

Place materials on course reserves:

In order to place course materials on reserve at the library, follow the procedures outlined on the course reserves pages of the library website.

You can navigate there from the library homepage by clicking on the "Course reserves" link, then click on the "Submit Materials" link on the left.

Ideally, course reserve materials should be submitted two weeks prior to the start of the semester.

Be sure to allow seven business days (weekdays not including holidays) before assigning reserve materials.

If you want to scan your items and keep the files on a CD for future use, you can make an appointment with the Digital Services Center for assistance - contact the coordinator, Karen Vaughan, at 683-4184 or via email at kvaughan@odu.edu
